DEVELOPMENT AND EXECUTIVE ASSISTANT

Overview

The Development and Executive Assistant is a “people person,” assists with fundraising and communications, provides administrative support to the Executive Director and Deputy Director, assists with routine human resources issues, and oversees general office operations. The Development and Executive Assistant is a full-time, non-exempt position and reports to the Deputy Director.

Responsibilities

The responsibilities of the Development and Executive Assistant include but are not limited to:

Development Assistant

  • Processes incoming donations and mail

  • Manages bulk mailings (Annual Report, Appeals, Events)

  • Maintains donor database

  • Provides support to the Deputy Director and Development Manager and is responsible for selected communications/development projects

  • Assists with all aspects of event planning including event registration and logistics

  • Creates and distributes weekly public interest jobs bulletin

  • Creates and distributes all email newsletters and email blasts

Board of Directors

  • Works as liaison between Board of Directors and Executive Director

  • Organizes quarterly meetings (arranges meeting space, produces agenda, collects and distributes all documents to members)

  • Records and circulates quarterly meeting minutes

  • Staffs the Executive Committee to the Board

  • Collaborates with Grant Program Associate to staff the Grant Advisory Committee

Executive Assistant

  • Coordinates staff meetings and maintains office calendars

  • Manages any administrative part-time, full-time or volunteer staff

  • Responsible for front desk reception (accepting packages, regularly checking intake line voicemail)

  • Processes monthly expense reimbursements and credit card reconciliations for Executive Director and Deputy Director

  • Provides administrative support to Executive Director including correspondence, scheduling, filing, and travel arrangements

Human Resources

  • Plans and administers staff events/birthdays

  • Coordinates team events and team member recognition

  • Organizes and maintains HR related templates and records on server in coordination with the HR/Finance Manager

  • Creates and maintains HR FAQ

  • Assists HR/Finance Manager with maintenance of HR records

  • Project manages onboarding/exiting of employees, liaising with program staff as appropriate.

Office Management 

  • Responsible for daily running of all office operations including document organization, equipment maintenance, supply ordering and general office upkeep

  • Troubleshoots printers and other office equipment and manages repairs by outside contractors

  • Maintains a key box and inventory of office equipment, signing keys and equipment out to designated personnel

Qualifications & Required Experience

  • Bachelor’s Degree

  • Minimum 2 years development work

  • Extremely well-organized and detail-oriented

  • Self-starter

  • Tech-savvy, PC-based computer environment

  • Proficient in:

    • Microsoft Office 365

    • Constant Contact

    • Squarespace

    • DonorPerfect

    • Canva

  • Excellent proven writing, analytical and verbal communication skills

  • Ability to empathize with and appreciate donor motivation

  • Ability to work in a team setting and willingness to work a flexible schedule with minimum supervision

  • Ability to travel locally

  • Belief in the mission of the Impact Fund

  • Strong commitment to social justice

Desired Experience

  • Adobe Creative Suite

  • Video/Podcast production

What We Offer

  • Physical office located in Downtown Berkeley immediately adjacent to BART

  • Some remote work possible after office reopening

  • 10 days of paid vacation per year (increases after first year), 10 days of paid sick leave per year, and approximately 12 paid holidays per year

  • Full-time salary ranging from $45,000 to $50,000, based on experience
